Accessing Aspirus network, systems

Integrating into a new organization brings with it a lot of change. As the Ascension-Aspirus transition draws closer to the finish line, it is important to keep in mind that it will take time to fully implement locally all the applications, systems and workflows used by Aspirus.

Resources are available and will continue to be added on the Job Aids & Training page that will help associates better understand and access the Aspirus network and the various applications will be used.  Please refer to the following matrix to familiarize yourself with some of the upcoming changes: Application Comparison Matrix 

Key things to know:

  • Access – There will be a period after close that will require Ascension associates and clinicians who are transitioning to access the Aspirus network remotely via Citrix Workspace. This will be your connection to all things Aspirus.
  • Email – Your email will start to sync one week prior to close. It is anticipated that emails from February-June will be available immediately upon close. The most recent emails from July may take a few additional days after close to fully sync. Emails older than six months will not be synced.
  • Calendar – Your calendar items will be synced during the final email sync. The timing may vary by individual, but most data should be available by August 4. It is recommended that you print in advance your calendar for the first week of August in case there is a delay in the transfer of your data.
  • Kronos – You will not use clocking stations. Timecard management will be done via your desktop or on your mobile device through the Kronos app.
  • Two-Factor Authentication – Because you will be accessing the Aspirus network remotely, the use of two-factor authentication will be commonplace. You are advised to keep your mobile phone on you at all times to retrieve any validation codes and access applications in a timely manner.

Key things to do:

  • Learn – Spend some time on the Job Aids page to familiarize yourself with important information.
  • Participate – Engage in the process for migrating email and files from the current system to Aspirus’.
  • Review – Your personalized distribution lists and any meetings occurring after Aug. 1 will need to be updated or recreated with Aspirus email addresses.
  • Train – If required, participate in Kronos Timekeeper Training. Invites have been sent by Aspirus.
  • Prepare – Complete your initial Aspirus onboarding as previously communicated. Additional onboarding will be released on Aug. 1 via the HealthStream online learning application.

Key points of contact:

  • Ascension Help Desk – Call 877-640-1416 with any IT-related issues. The help desk will either troubleshoot your issue, or triage it to Aspirus as appropriate.
